Senior Executive Assistant

A Fortune 500 company in Fort Lauderdale, FL is seeking a dedicated Senior Executive Assistant to support the CEO. To be successful in this role, you should be a confident, proactive go-getter with excellent communication and multitasking skills who thrives on being part of a team and making things happen. This position requires a high level of professionalism, exceptional organizational skills, and the ability to handle confidential and sensitive information. The candidate needs to be comfortable operating in a fast-moving, dynamic environment in which priorities and tasks can change quickly and need immediate attention.

The role:

-Manage complex calendars, which includes prioritizing and coordinating conflicting commitments, and proactively adjusting schedules based on what is most important to the CEO
-Book and manage frequent domestic and international travel. Prepare travel expense reports and reconcile them with appropriate documentation
-Perform administrative duties such as organizing leadership lunches, copying, and filing
-Manage and develop a second Executive Assistant within the Office of the CEO
-Act as a “first among equals” with EAs supporting C-suite members, bringing them together to align priorities, coordinate efforts and share best practices.
-Own and maintain internal EA Team SharePoint site
-Plan and support leadership events and meetings: research venues, coordinate with vendors, and manage/execute as needed to ensure a smooth and successful event -Coordinate with EAs supporting members of the Board of Directors, investors, and other key external parties
-Collaborate with the CEO’s personal assistant as needed
-Develop a strong working relationship with the CEO’s Chief of Staff
-Improve professional and technical knowledge by attending workshops and establishing personal networks
-Support the Office of the CEO on periodic special projects, conducting research, gathering data, and preparing reports
-Perform ad-hoc duties upon request
-Maintain confidentiality and exercise unimpeachable discretion when handling sensitive matters

Qualifications:

8- 10+ years of related CEO or C-suite member support experience in a complex and fast-moving environment.

-Fortune 500 public company or advanced-stage startup environment
-Must have experience within CEO office and managing min of 1-2 EA’s
-Ideally from a tech, retail, ecommerce or successful start-up background
-A high degree of professionalism with a customer service mindset and strong interpersonal skills
-Positive attitude with a “no task too big or too small” mentality
-Exceptional communication skills, including strong writing/proofreading (grammar, punctuation, and spelling) via multiple channels: phone, Outlook 365 Office Suite, Slack chat, and in-person
-Ability to anticipate needs and proactively suggest solutions
-Deep intellectual curiosity and strong willingness to work on a team
-A willingness to take ownership and quickly problem solve
-Experience exercising discretion and confidentiality with sensitive company information.
-Grace under pressure
-Proficient in Microsoft 365: Outlook, Excel, PowerPoint, and Word, with a willingness to learn new tools/systems as needed
-High confidence, emotional intelligence, and trustworthiness, with a growth mindset and desire to continuously learn and improve
-A passion for pets and the improvement of the pet industry and market
