Legal Secretary - DC

Our client, a leading global law firm, is seeking a sophisticated, proactive, and professional Legal Secretary/Executive Assistant to support their growing DC office.

This is a hybrid role - Tue/Wed/Thur in office, rotate Mon and Fri coverage

5 days a week for first 4-6 weeks for training

You will join a growing team of admins in supporting 1-2 partners and 4-5 additional fee earners. with traditional executive administrative support in addition to a variety of legal duties, including billing time. You will also help with marketing efforts and building relationships with high profile clients.

What you will do:

Manage multiple calendars on MS Outlook
Liaise with clients and build relationships with their assistants.
Act as a point of contact for fee earners, offering assistance and demonstrating an ability to obtain key information.
Meeting preparation
Document production: proofreading
General administrative support including photocopying, printing and scanning
Establish and maintain an efficient, effective and up to date manual and electronic filing system and other administration systems.
Answering phones
Tracking and uploading engagement letters/emails
Ensuring time recording is completed to meet deadlines.
Assist with the billing process
Handle expense reports
Maintain a good knowledge of key clients
Manage contacts in Outlook and assist in client development outreach
Assist with client presentations
Assist with client events as and when required.


What you will need:

Associates degree/Bachelor’s degree
3-5 years of experience in the legal or professional services industry including partner support
Advanced knowledge of Microsoft Office including Word, PowerPoint, Outlook and Excel.
Excellent communication skills, both written and oral with an ability to interact at all levels.
Excellent organizational skills and attention to detail.
Strong relationship building skills
Exercise a high level of discretion and confidentiality
A strong team player; flexible to cover for other EAs as needed
Willingness to learn and grow in the role
