Operations Specialist

A leading provider of innovative and sustainable building & construction solutions is seeking a motivated and highly organized Operations Specialist who thrives in a fast-paced environment.  As an Operations Specialist, you will play a pivotal role in the seamless functioning of the company by supporting the operations team with coordination, strategy, and implementation. You will be responsible for identifying operational problems, analyzing them, and implementing effective solutions to ensure optimal efficiency and productivity across various departments.

Location: This role is currently onsite 5 days/week in Long Island City, NY, but the office is relocating to Manhattan later this year.

Hours: 9am-5pm, strong work life balance

Salary commensurate with experience: $100-140k range + bonus, 401k match, medical/dental/vision benefits, 3 weeks’ vacation & more

Key Responsibilities include:  

• Operational Problem Identification: Collaborate with stakeholders across departments to identify operational problems and concerns. This may include issues related to cost management, staffing, supply chain disruptions, production inefficiencies, and other operational challenges.  
• Data Analysis and Evaluation: Utilize data analysis tools and techniques to assess the root causes of operational problems. Analyze key metrics and performance indicators to identify trends, patterns, and areas for improvement.  
• Strategic Planning and Implementation: Develop strategic plans and initiatives to address identified operational problems. Work closely with senior management to prioritize initiatives and allocate resources effectively.  
• Cross-Functional Collaboration: Serve as a liaison between different departments to ensure seamless communication and collaboration. Facilitate cross-functional meetings and initiatives to address operational challenges and drive organizational goals.  
• Process Improvement: Lead process improvement initiatives to streamline workflows and enhance operational efficiency. Identify opportunities for automation, standardization, and optimization of existing processes.  
• Project Management: Manage projects related to operational improvement initiatives from conception to execution. Develop project plans, set milestones, track progress, and ensure timely delivery of results.  
• Documentation and Reporting: Maintain accurate documentation of operational processes, procedures, and best practices. Prepare regular reports and presentations to communicate findings, progress, and recommendations to senior management.  
• Training and Development: Provide training and support to staff members on new processes, tools, and initiatives. Foster a culture of continuous improvement and professional development within the organization.  

Qualifications:  
• Bachelor's degree in Business Administration, Operations Management, or a related field. Master's degree preferred.  
• Proven experience in a similar role combining elements of executive assistance, operations analysis, chief of staff, or operations management.  
• Strong analytical skills with the ability to identify problems, analyze data, and develop effective solutions.  
• Excellent communication and interpersonal skills, with the ability to collaborate effectively with stakeholders at all levels.  
• Solid understanding of operational processes, project management principles, and business operations.  
• Proficiency in data analysis tools and software.  
• Experience or interest in the construction and/or engineering industry is a plus.  
• Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.  
• Strong leadership abilities with a focus on driving results and achieving organizational goals.
