Senior Executive Assistant - Top Tier Investment Firm

We are seeking a sharp, experienced, and professional Senior Executive Assistant to join a Founding Partner’s team.  The team is responsible for driving the day-to-day operations as well as executing on strategic projects and high growth initiatives.

The role will be responsible for core executive assistant duties, tracking & strategically planning engagement with our clients/network, and require collaboration with multiple stakeholders across the firm. Maintaining confidentiality, effectively multitasking, having a strong work ethic, and being passionate about achieving our goals will be imperative to success. The Executive Assistant will be a critical team member in supporting a collaborative team running the partner’s operations.

Location: New York, NY
Salary range is $140,000 - $160,000 together with a discretionary bonus, health insurance, paid time off, 401k participation with a company matching program, wellness stipend, personal education allowance as well as a commuter benefits program.


Principal Responsibilities:
•   Own and proactively manage a complex, changing, high-volume calendar across multiple time-zones
•   Drive data collection & reporting to inform strategic directions
•   Assist in prioritizing and streamlining communications to/from Partner, including organizing and composure of emails, and draft and preparation of follow up notes for meetings.
•   Be a knowledge conduit and ensure information moves fluidly across the organization in a timely manner.
•   Seamlessly coordinate extensive domestic and international travel
•   Ensure seamless flow of the partner’s day to day activities
•   Proactively and strategically coordinate internal and external meetings
•   Work collaboratively with and manage a multi-support team
•   Create and implement systems to elevate efficiency and effectiveness of administrative processes
•   Provide additional administrative support as needed

Qualifications:
•   5+ years in an executive administrative support role to a partner of C-level executive, with experience in managing complex calendars, travel, and day to day administrative operations.
•   Desire to learn and work in an entrepreneurial, high pressure, ever-changing environment
•   Thorough attention to detail and superior communication skills
•   Strong time management skills: ability to handle multiple concurrent assignments with a high degree of accuracy and meet deadlines in a high-pressure environment
•   Ability to think independently and provide creative solutions
•   Strong emotional intelligence and ability to diplomatically navigate complex situations
•   Positive attitude - no task too big or too small
•   Experience with Microsoft Office, experience with Salesforce ideal
