A Leading Asset Management Firm in Midtown needs a rockstar Administrative Assistant to support their Marketing team! This is a dynamic role where the successful candidate will be working on both traditional administrative duties, and with marketing and client relations representative on ad-hoc projects. This is a perfect role fit for an engaging and excited candidate who is passionate about working somewhere where no two days are the same!
The firm operates on a hybrid 3 days in office/ 2 days WFH schedule
In this role, you will:
Oversee all team schedules and calendars and coordinate client meetings
Maintain the client database, coordinating contact lists and other distribution lists, assisting inquiries;
Work with Client Relations & Marketing Representatives on new entries into the Redemption & Contribution Registers;
Plan team travel between preparing detailed itineraries and managing expense reports;
Draft correspondence and assist in producing marketing presentations, materials, meeting agendas, relationship summaries, and other documents as necessary;
Work in partnership with the other administrative assistants in the group to ensure the optimal level of support for the entire team;
Prepare and send correspondence
Screen and route incoming phone calls
Ad hoc administrative support for additional team members as needed
What we’re looking for:
At least 3+ years of experience supporting several executives within a financial services firm. Administrative assistance experience within marketing preferred.
Strong proficiency in Microsoft Word, Excel, PowerPoint and Outlook. Some knowledge of Salesforce or a contact database is a plus.
Bachelor’s degree preferred
Demonstrated experience handling sensitive and confidential information
Excellent interpersonal, verbal and written communication skills.
Ability to independently manage multiple projects with no supervision
Meticulous attention to detail and organization
Collaborative and motivated mindset
Ability to adapt to changing priorities
Visible desire to grow and take on more responsibilities within the position
