A boutique bi-coastal entertainment/talent advisory and investment firm is seeking an Executive Assistant to support their VP of Creative with day to day admin tasks and project management. This is a great role for a candidate with fast-paced experience in the creative field or the agency/entertainment space looking to grow under an incredible executive. The role is in the office 5 days/week in SoHo, NYC.
Salary commensurate with experience - $55-85k range + top benefits, 401k with match, PTO
RESPONSIBILITIES:
• Maintain an accurate and detailed personal and professional calendar for the VP of Creative, manage and log incoming scheduling requests, reschedule meetings upon request, proactively communicate changes, and anticipate and respond to scheduling conflicts
• Prioritize the VP of Creative’s tasks and projects daily, monitor all emails, call list, documents, etc.
• Screen all communications to the VP of Creative, with a particular focus on email management
• Organize internal and external meetings, including notifying attendees, reserving conference rooms, handling logistics, drafting and distributing agendas, and taking notes
• Oversee the creation of any prep materials needed
• Manage all travel arrangements, reservations and support while on the road and handle expenses
• Provide special project support to the creative team
IDEAL PROFILE:
• At least 2 years of experience in a creative agency or entertainment/talent firm ideally - Knowledge of and interest or experience in beauty, fashion, health and wellness, travel and/or tech a strong plus.
• Advanced proficiency in Google Suite (Slides, Docs, Sheets), Apple Products
• Exceptional verbal and written communication skills
• Extremely detail oriented and able to successfully multitask - ability to manage multiple projects with conflicting deadlines
• Ability to work with high-profile individuals externally and collaborate internally
• Ability to work well under pressure and tight deadlines in a fast-paced environment
• Positive mental attitude
