Office Manager – Global Investment Firm

A leading investment firm is seeking an experienced Office Manager to join our global Administration team. The ideal candidate with have experience managing direct reports and managing vendors & facilities in a corporate, fast-paced environment.

Salary range: $90-125k + disc bonus, great benefits, 401k match, 20 days PTO

This is a Monday – Friday work onsite role based in Midtown East, NYC, working typically between 8am-5pm.

Responsibilities include:
• Collaborate on office construction projects, office moves and leasehold improvement initiatives  
• Create a welcoming environment for team members and guests and oversee the reception area/ conference rooms
• Manage, schedule and oversee performance of junior administrative staff (2)
• Oversee the use of AV facilities in the conference rooms, and liaise with internal IT team members
• Manage catering needs for client, and other office meetings
• Provide backup reception cover when required
• Oversee and manage social events
• Manage building access for new hires, guests, and deliveries
• Manage all facilities-related vendor relationships including sourcing and  onboarding new vendors and looking for efficiencies with existing vendors
• Process vendor quotes and invoices
• Management of all vendor work including obtaining COIs and the necessary documentation to perform work
• Manage all onboarding and offboarding duties
• Order and maintain office supplies and kitchen inventory
• Maintain all office equipment and coordinated maintenance service calls
• Assist senior level staff with requests / needs, for example: booking corporate travel and the preparation of expense reports attracts and retains top investment talent.
• Participate in disaster recovery planning and execution
• Develop ideas for efficiencies and improvements to the various administrative and HR processes

Seeking:
• Minimum of 4-7 years’ recent Office Management experience in a fast-paced, corporate office
• Experience supporting executive-level management
• Experience managing administrative staff
• Excellent telephone, written, and verbal communication
• Proficiency with Microsoft Office Suite
