Estate & Household Manager @ Family Office

Our client a family office in Miami is seeking a Estate & Household Manager to join their team.

Seeking a highly motivated mostly remote Head of Estate & Household Operations to lead the day-to-day personal functions for a private, high net worth family with global roots. This role demands exceptional service orientation, organizational prowess, and an acute attention to detail.

Budgeting / Personal items:
Hold strong oversight of all Principal and Family spending, helping drive cost efficiencies where possible and working with VP of Finance to fit all personal operations projects within budgets
Manage all of the Principal's personal contracts, invoices, budgets, billing and expenses (working with third party expert advisors i.e., legal, finance, tax etc.)
Review, track, approve and pay expenses/ invoices for personal spend
Procure and manage the Principal’s personal insurance (properties, vehicles, art, etc.)
Support on Payroll for Household Staff (working with VP of Finance)

Estate construction / repairs:
Secure competitive quotes for repairs and larger construction projects
Manage vendor relationships, overseeing their work concerning home needs, upkeep, and renovations.
Work with family for approval and budgeting of large projects and approach with a proper balance of cost / service orientation

Estate operations and admin:
Manage utilities, create estate manuals, and secure competitive quotes for repairs.
Act as the main point of contact in emergencies, addressing issues like alarms and pool leaks. 
Maintain inventory of furnishings and equipment, ordering replacements as needed.
Identify all of the family storage units, condensing space where applicable. 
Collaborate with current security infrastructure for property needs. 
Create a central database of the inner workings of the property including, but not limited to vendor contacts, personal family information / contacts, etc.

People Management;
Oversee Household Staff (Housekeepers, Maintenance), Security, Chef, Boat Captain and Nanny, among others, making sure all jobs are completed well and property is kept secure and orderly, particularly when family is on site
Act as problem solver and overseer of scope, role, employee growth across a wide range of employees, both virtual and in-person
Take ownership of extended family asks, managing relationships and providing support on operational items

On-the-ground travel operations:
Ensure smooth day-to-day operations when the family is in town and staying on the property. 
Act as additional capacity during events, travel and daily support where complex logistics are required
Plan, organize and run road ops across multiple different locations and trip types, coordinating across EA, PA and other key stakeholders
