Executive Assistant

Our client, a Famous Fashion Brand in NYC, is seeking an Executive Assistant to join their team on a temp to perm basis.


You must have 3+ years of EA experience within the Beauty/Fashion industry to be considered.


Responsibilities:

  • Maintain calendar for 2 VP's and their direct reports- prioritizing appointments and proactively resolving scheduling conflicts throughout the day to ensure attendance and punctuality at meetings
  • Make travel arrangements including booking flights, hotel accommodations, car services, and manage travel agendas
  • Enter and track expenses
  • Proactively manage the needs of the team, prioritizing what is important and urgent
  • Review and maintain expenses submitted to leader and highlight any out of policy spending, process expense reports and invoices. Code and approve all department invoices.
  • Responds to phone, email and in-person inquiries – providing general information and directing inquiries to correct source or point of contact
  • Manage all necessary arrangements for internal and external meeting planning including sending invitations, booking rooms and arranging catering
  • Organize special events as required including team off-sites and larger cross-functional team meetings
  • Work closely with the other assistants to schedule inter – department meetings with executives
  • Work on special projects which may include presentation creation using Excel and/or PowerPoint and finalization of presentations and other documents
  • Ad hoc personal requests


Qualifications

  • 3+ years of experience as an Executive Assistant within the fashion or beauty industry.
  • Bachelor’s Degree preferred
  • Maintain the highest level of confidentiality
  • Strong verbal and written communication skills
  • Excellent administrative, organizational and project management skills
  • Superior follow through skills, customer service oriented
  • Demonstrated proficiency in Microsoft Office and Concur or Quickbooks
