Office and Administration Manager - Law Firm

A growing litigation law firm focused on civil rights and public interest law is hiring for an Office Administrator to work under the COO. This dynamic role will manage the firm’s team of administrative staff and oversee all aspects of daily facilities, space planning and renovations.

Salary commensurate with experience $150-180k base + Discretionary bonus and excellent benefits package

Onsite 5 days week in Midtown NYC

Hours: generally 9am-6pm

Responsibilities include:

  • Supervise administrative office staff and oversee office space planning, maintenance, and renovations.
  • Serve as a primary liaison with building management.
  • Ensure accuracy of office seating charts, assigning workstations to new hires and circulating updated charts.
  • Troubleshoot office equipment issues, monitor leasing and usage of office equipment and interact with repair vendors as needed.
  • Serve as a primary team member on the firm’s emergency response, disaster recovery, and business-continuity planning task force.
  • Develop and maintain list of preferred vendors and coordinate with vendors.
  • Develop and deliver office-related training for lawyers and staff in office-related procedures.
  • Help implement the firm’s records management policies and procedures to ensure compliance with best practices for recordkeeping.
  • Assist with onboarding new hires by ensuring IT set up and otherwise prepare office space
  • Arrange internal and external events in the firm’s offices as directed


Qualifications:

  • MS Office Suite including Outlook, Word, and PowerPoint.
  • At least five years of relevant work experience in the areas of responsibility outlined above.
  • Must have previous direct supervisory experience of administrative staff.
  • Ability to take ownership of projects and follow through to completion.
  • Ability to balance tasks of varying levels of urgency and complexity in an environment where your responsibilities may vary from day to day.
  • You work well under pressure with tight deadlines. You are versatile and able to respond quickly and positively to shifting demands and opportunities.
