Executive Assistant

An Established Global Finance Firm in San Francisco is looking to find a sharp and experienced Executive Assistant to join their outstanding administrative team. In this role, it is crucial to have mastered true administrative duties, including the coordination and organization of calendars, correspondence, and scheduling for several high-level team member. This Executive Assistant will have the opportunity to grow in their role via collaboration with the administrative team, assisting with hiring needs, and the creation and implementation of processes. *This is an in-office role located in San Francisco, CA

Job duties include:

  • Coordination of fast-paced operations and scheduling needs for two managing directors and three vice presidents
  • Accurate prioritization of tasks, with the ability to juggle competing responsibilities
  • Arrange global and domestic travel arrangements and process expenses.
  • Manage a busy calendar and schedule prioritizing and problem solving as needed
  • Manage meeting and conference logistics, action items, and materials
  • Collaborate with various administrative team members to provide seamless meeting and material support
  • Ensure that all materials are proofread to maintain accuracy
  • Remain open to growing in role, building out processes to maximize efficiency
  • Assist hiring manager with tasks as needed
  • Establish manageable schedule for each individual, adjusting as needed as priorities shift

About you:

  • 5+ years of previous experience of executive assistance within finance and other professional industries (with experience supporting multiple high-level individuals)
  • Outstanding written and verbal communication skills
  • Prioritize and can multitask with ease in a fast-paced environment
  • Strong technical skills (specifically in MS Office) and ability to learn new systems
  • High level of confidentiality and problem-solving skills, while remaining detail-oriented
