Executive Assistant/Office Manager

A prestigious private family office and investment firm is hiring for an Executive Assistant/Office Manager. We are seeking someone proactive and detail-oriented, with a focus on efficiency and precision. This role is critical in maintaining the operational excellence and working closely with the CFO & Analysts.

Salary commensurate with experience: $120-200K range + discretionary bonus + comprehensive, fully paid benefits package, 401k, chef onsite to make lunch, etc.

Location:
 Gorgeous Flatiron District, NYC office, Onsite Monday – Friday 5 days/week.

Hours: Flexible between 8am-6pm, but not always expected to be in office these hours – flexible mindset

Qualifications:

  • Bachelor's degree required
  • 3-5+ years of relevant experience in financial services or investment management
  • Exceptional organizational and time management skills
  • Strong proficiency in Microsoft Office Suite
  • Detail-oriented with outstanding follow-through
  • Excellent written and verbal communication skills
  • Ability to maintain strict confidentiality
  • Problem-solving mindset
  • Experience with Trinet or similar HRIS systems preferred

Responsibilities include:

  • Operations Support
  • Work closely with CFO on expense management, reporting and other administrative duties.
  • Process expense reports and maintain accurate records
  • Assist with basic accounting tasks

Office Management & HR Support

  • Oversee daily operations of our NYC office, ensuring a professional and productive environment
  • Manage vendor relationships including cleaning staff, caterers, and IT support
  • Handle office supply inventory, stocking, and procurement
  • Oversee the employee lifecycle working with PEO
  • Coordinate recruiting process
  • Execute onboarding/ offboarding

Event Planning

  • Plan and execute team events including annual retreats and holiday celebrations
  • Coordinate year-end gift programs
  • Support team-building initiatives that reinforce our culture

Travel Coordination & schedule management

  • Arrange complex travel itineraries for investment team
  • Manage travel expense reporting and reconciliation
