Executive Assistant

A private family office in Houston is seeking an experienced Executive Assistant to join their team! The ideal candidate will provide high-level support to executives, ensuring seamless daily operations. They should excel in organization, possess exceptional communication skills, and be comfortable managing schedules, drafting correspondence, and coordinating logistics on behalf of the executives. This individual will also play a key role in preparing documents and materials for meetings, as well as handling sensitive and confidential information with discretion.

Salary: $125K - $150K

Responsibilities

-Manage and maintain executives’ calendars, including scheduling meetings, appointments, and travel arrangements.
-Prepare executives for meetings by compiling necessary documents, reports, and agendas.
-Respond to emails and handle document requests on behalf of executives in a professional and timely manner.
-Draft and edit slides, meeting notes, and correspondence for executives.
-Act as a gatekeeper, managing communications and prioritizing tasks to ensure executives' time is effectively utilized.
-Coordinate special projects, events, and initiatives as assigned by executives.
-Maintain an organized filing system of paper and electronic documents.
-Liaise with internal and external stakeholders to facilitate smooth communication and collaboration.
-Handle expense reporting and budget tracking for executive-related activities.

Qualifications

-A Bachelor’s degree is required.
-Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software is essential.
-Demonstrated experience in managing multiple priorities, administrative coordination, and complex logistics.
-Exceptional organizational skills with a strong attention to detail and ability to multi-task effectively.
-Outstanding written and verbal communication skills with a professional demeanor.
-Proven ability to handle confidential information with integrity and discretion.
-Strong problem-solving skills, resourcefulness, and a proactive approach to challenges.
-Previous experience supporting C-level or senior executives in a fast-paced environment is preferred.
