Executive Assistant
Our client, a leading construction company, is seeking a highly organized and detail-oriented Executive Assistant to support our Chairman and CEO. This role involves acting as a strategic advisor, financial acumen: managing personal finances and investments, assisting with legal matters, and understanding family trusts and estate planning. The ideal candidate will also have excellent writing skills, organizational capabilities, and proficiency in AI tools and modern technology.
Key Responsibilities:
Personal Finance and Investment Management:
- Oversee the Chairman and CEO’s personal financial affairs, including budgeting, investment tracking, and reporting.
- Coordinate with financial advisors, accountants, and other professionals to ensure optimal financial management.
Legal and Estate Planning:
- Assist with light legal work (reviewing legal documents)
- Understand and manage various family trusts and estate planning documents.
- Coordinate with attorneys and other legal professionals as needed
- Assist Internal Counsel with legal documentation
Administrative and Organizational Support:
- Provide comprehensive administrative support, including calendar management and correspondence.
- Prepare reports, presentations, and other documents as required.
- Handle confidential and sensitive information with discretion.
Technology and AI Tools:
- Utilize AI tools and modern technology to streamline and optimize tasks.
Writing and Communication:
- Draft and edit various documents, including emails, memos, and reports.
- Maintain clear and effective communication with internal and external stakeholders.
Meeting Preparation and Follow Up:
- Prepare agendas, materials, and briefings for important meetings and events.
- Attend meetings, take detailed notes, and ensure follow-up on action items. (Travel as needed)
- Represent the President/CEO in meetings when necessary.
Qualifications:
- Strong understanding of personal finance and investments (Estate Planning a plus)
- Bachelor's Degree
- Familiarity with legal documents and light legal work.
- Excellent organizational and time-management skills.
- Proficient in AI tools and modern technology.
- Strong written and verbal communication skills.
- Ability to handle confidential information with integrity and discretion.
- Proactive, self-motivated, and able to work independently.
