Executive Assistant
A dynamic and growth-focused venture firm investing in data & security, fintech, and health sectors is seeking an Executive Assistant to support their San Francisco office. This role will provide high-level administrative and project management support to the CFO, VP of Finance, Head of Investor Relations, and VP of Operations, playing a critical role in keeping key initiatives on track across operations, fundraising, and investor relations.
The ideal candidate is highly organized, proactive, and excels in managing complex calendars, coordinating meetings, and overseeing project deadlines in a fast-paced, high-performance environment.
This is a hybrid role, requiring three days in-office in San Francisco.
Key Responsibilities:
- Calendar & Meeting Management – Manage complex schedules, coordinate meetings, and ensure seamless logistics for multiple executives.
- Project Management – Track action items, set deadlines, and ensure timely execution of key operational, fundraising, and investor relations initiatives.
- Investor Relations Support – Maintain CRM databases, draft investor communications, and assist in organizing Annual General Meetings (AGMs).
- Event Planning & Execution – Organize LP Advisory Committee (LPAC) meetings, board events, leadership meetings, and firm-wide annual events.
- Presentation & Reporting – Create and edit decks in Google Slides for executive presentations and investor updates.
- Virtual Event Coordination – Manage Zoom webinars and virtual investor events, ensuring a polished and professional experience.
- Office Transition Support – Assist with the firm's move to a new office space, coordinating walkthroughs and setup logistics.
- Administrative & Confidential Support – Handle sensitive company information, track expenses, and maintain key process documentation.
Qualifications & Experience:
- 5+ years of experience in an executive assistant or similar role, ideally within venture capital, finance, tech, or investor relations.
- Proven experience supporting C-level executives in a high-performing, fast-moving environment.
- Strong project management skills, with the ability to take initiative and independently drive tasks to completion.
- Proficiency in Google Suite (Gmail, Slides, Sheets, Drive) and Microsoft Office.
- Experience managing virtual events, including Zoom webinars and investor calls.
- Familiarity with investor relations, fundraising processes, and CRM systems.
- Excellent organizational skills, attention to detail, and ability to handle confidential information with discretion.
- Strong written and verbal communication skills, with the ability to engage with high-profile investors and stakeholders.
- A proactive, problem-solving mindset with a high degree of adaptability.
Salary & Benefits:
- $140K-$160K base salary, plus performance-based bonus.
