Office Coordinator

Are you a highly organized and personable individual looking for an exciting opportunity? A prestigious Hedge Fund seeking a dedicated Office Coordinator/Receptionist to join our team and play an essential role in ensuring smooth daily operations. This role is key in managing guest registrations, handling the main phone line, and offering exceptional service to all visitors.

$60k - 70k Base + Paid OT + Great Benefits + Daily Meal Stipend!

This role is based in San Francisco - 5 days onsite

Key Responsibilities:
- Front Desk Management: Greet and check in visitors and clients, maintaining a professional and welcoming atmosphere.
- Phone & Email Management: Answer, screen, and direct phone calls and manage email correspondence with professionalism and courtesy.
- Meeting & Event Coordination: Schedule meetings, arrange conference calls, coordinate catering, and ensure meeting rooms are prepared.
- Client Relations: Serve as the main point of contact for clients and investors, always displaying a friendly, discreet, and professional demeanor.
- Confidentiality: Handle sensitive information with the utmost care and professionalism.
- Office Presentation: Keep the reception area and office space clean, organized, and welcoming at all times.
- Technology Support: Assist with troubleshooting minor technical issues for office equipment and conference rooms.
- Excel/Outlook Proficiency: Utilize Excel to track data and performance metrics, and Outlook for scheduling, communication, and calendar management.
- Metrics-Driven Performance: Monitor and track key performance metrics related to reception and guest services. Provide reports as needed.
- Cross-Training: Take on additional administrative duties and assist with other office functions as needed.

Qualifications:
- College degree strongly preferred.
- Prior experience in a receptionist or customer service role is required.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Excel and Outlook.
- Excellent communication and interpersonal skills.
- Ability to multitask in a fast-paced environment.
- Professional appearance and demeanor.
- Positive, friendly attitude with the ability to work independently and as part of a team.
