Executive Assistant/Office Manager
A prestigious and growing private equity firm in San Francisco is seeking a highly skilled and proactive Executive Assistant to support its two Co-Founders/Managing Partners, as well as an additional investment professionals as needed. This full-time role that offers an exciting opportunity to be the firm’s first support hire in the SF office, playing a key role in its expansion and future operations.
The ideal candidate is a detail-oriented, resourceful, and highly organized professional with a background in private equity, venture capital, or a relevant industry. This role requires adaptability, discretion, and the ability to thrive in a smaller, fast-paced team environment. As the firm continues to grow, this individual will have the opportunity to hire and mentor junior administrative staff.
Compensation: $150,000 – $180,000 base salary (Bonus eligibility)
Responsibilities:
- Provide comprehensive executive support, including calendar management, scheduling, meeting coordination, and handling confidential communications.
- Manage travel arrangements and expense reporting, with an expectation of increased travel coordination as fundraising efforts expand.
- Oversee office operations and vendor relations, playing an instrumental role in setting up and scaling the new SF office.
- Maintain inventory, office supplies, and operational processes to ensure efficiency.
- Assist with fundraising-related projects, including scheduling investor meetings, tracking data, and maintaining organized documentation.
- Act as a key point of contact for high-level stakeholders, including executives, investors, and partners.
- Support special projects and provide administrative assistance to investment professionals as needed.
Qualifications:
- 5-10 years of experience in an Executive Assistant, Office Management, or high-level administrative role, preferably in private equity, venture capital, or a related financial industry.
- Bachelor’s Degree preferred.
- Strong ability to work independently in a lean, high-performing environment while being collaborative and proactive.
- Exceptional organizational, time management, and communication skills.
- Proven ability to anticipate needs, solve problems, and adapt to a dynamic, fast-growing firm.
- Proficiency in Microsoft Office Suite, Google Workspace, and other relevant office tools.
- Willingness to be fully in-office initially, with potential for hybrid flexibility over time (anticipated 3-4 days in-office on average).
