Receptionist / Administrative Assistant

Our client, a top Investment Banking Firm is looking for a Receptionist/Administrative Assistant.

Company Overview:
A boutique finance firm specializing in strategic advisory services is seeking a highly proactive, organized, and engaging Receptionist/Administrative Assistant to join their dynamic team. This is an exciting opportunity for someone looking to grow into an office management role and work directly with the CEO and founder, as well as a team of managing directors based in different locations across the U.S.

Position Summary:
The Receptionist/Administrative Assistant will be the first point of contact for the office, responsible for answering calls, greeting guests, managing office supplies, and supporting the team in a variety of administrative tasks. The ideal candidate will have a “Now what?” mentality, taking initiative, asking how they can help, and demonstrating a genuine interest in supporting the firm's success. This role also involves assisting the CEO with booking business travel and handling special projects as needed.

Key Responsibilities:
• Answer and route phone calls in a professional and friendly manner
• Greet visitors and clients, providing excellent front-desk service
• Manage office supplies, ensure the office is well-stocked and organized
• Assist in booking and coordinating business travel for the CEO and potentially managing travel logistics for other team members in the future
• Support scheduling and calendar management for the CEO and managing directors, primarily the NYC-based MD
• Assist with preparing for meetings, ordering team lunches, and managing any necessary on-site logistics
• Handle administrative tasks such as filing, document preparation, and message taking
• Collaborate with the existing Executive Assistant on special projects and initiatives
• Take initiative to identify areas for improvement and offer solutions proactively
• Support in maintaining a welcoming and productive office environment

Ideal Candidate Profile:
• A proactive, engaged individual with a strong sense of responsibility and a commitment to helping the team
• Must be organized, detail-oriented, and able to handle multiple tasks at once
• Prior finance experience is a plus, but not required; however, the right candidate must demonstrate a willingness to learn and grow within the firm
• Ability to work effectively with a small team, including the Managing Partners and managing directors
• Someone who genuinely enjoys taking on more responsibility and thrives in a fast-paced environment
• Flexibility and a willingness to take on both large and small tasks
• Strong communication skills and a professional demeanor
• Must not be actively pursuing acting or have an IMDb profile (non-negotiable)

Compensation & Benefits:
• Salary range: $55,000 - $60,000 per year
• Health benefits: United PPO
