Administrative Assistant
A leading global finance firm with prestigious offices in Century City, Los Angeles, seeks a diligent and tech-savvy Administrative Assistant to support its high-performing wealth advisory team. This role is perfect for a natural organizer with a strong commitment to client service, exceptional multitasking skills, and a keen eye for detail. As a valued team member, you will contribute to the seamless operation of the firm by managing administrative tasks and enhancing client interactions in a fast-paced, collaborative environment.
Key Responsibilities:
• Support multiple senior financial professionals by managing calendars, coordinating meetings, and preparing detailed materials and reports.
• Serve as the first point of contact for client inquiries, ensuring timely and effective communication.
• Foster relationships with clients, team members, and stakeholders, building trust and rapport.
• Handle sensitive documentation, including the organization and digital management of financial files and presentations.
• Assist with event coordination, including in-office and off-site meetings, client events, and special projects.
• Oversee travel arrangements and expense reporting to maintain efficiency.
• Maintain and update comprehensive client files and records.
• Execute general administrative duties such as writing correspondence, phone management, database upkeep, and team support.
Qualifications:
• Bachelor’s degree preferred; 2-4+ years of administrative experience in a corporate or professional setting required.
• Experience in financial services is a plus.
• High proficiency in Microsoft Office; Salesforce experience preferred.
• Strong communication, organizational, and time management skills.
• Ability to manage multiple priorities independently and under pressure.
• A proactive, client-centric approach with a commitment to excellence and attention to detail.
Work Environment:
• Hybrid schedule: 3 days in-office, 2 days remote.
• Typical hours: 8:00 AM – 5:00 PM, with flexibility for overtime as needed.
• Competitive salary (DOE $70-75K base) plus bonus and overtime, along with a comprehensive benefits package.
