Executive/Personal Assistant to CEO

A dynamic and innovative company in the beauty industry is seeking a detail-oriented and highly organized Executive/Personal Assistant to support our CEO. This role is pivotal in balancing professional and personal responsibilities, ensuring seamless communication, and maintaining the flow of critical activities within a fast-paced, high-energy environment. Based in West Hollywood, this position offers the opportunity to collaborate with a passionate and creative team dedicated to growth and success.
As a key contributor to the leadership team, you will provide executive support while assisting with personal affairs, enhancing the overall efficiency of the CEO’s operations. This role demands someone proactive, resourceful, and adaptable, who thrives on innovation and can anticipate needs while effectively managing priorities.

Responsibilities:

Personal Affairs Management:
• Collaborate with the Estate Manager to assist with personal requests, errands, and day-to-day activities with discretion and attention to detail.
• Maintain seamless communication between the CEO’s home and office.
• Represent the estate and brand with professionalism at all times.

Executive & Personal Calendar Management:
• Manage a dynamic calendar, scheduling appointments and meetings, and addressing potential conflicts proactively.
• Draft and track meeting agendas and action items to ensure follow-up and progress on key initiatives.

Communication & Correspondence Management:
• Oversee the CEO’s email inbox, responding to inquiries and flagging important matters for follow-up.
• Draft and edit communications with clarity, professionalism, and timely delivery.

Travel & Event Coordination:
• Plan and arrange travel logistics, ensuring seamless experiences.
• Coordinate meetings, events, and celebrations in collaboration with the Estate Manager and house staff.

Project Management & Special Assignments:
• Manage special projects from start to finish, balancing competing priorities under tight deadlines.
• Track progress and provide updates to the CEO on upcoming commitments.
• Organize product samples for testing, try-ons, and educational content creation.

Internal & External Relations:
• Act as the first point of contact for external inquiries, maintaining a polished and professional demeanor.
• Build and maintain strong working relationships with leadership, board members, and external partners.
• Liaise between the CEO’s office and internal departments to align on key initiatives.

Office & Logistics Management:
• Oversee mail, maintain inventory, and ensure office supplies are organized and stocked.
• Manage product samples and inventory for daily CEO use.

Qualifications & Skills Required:

• 3-5+ years of experience supporting C-level executives, preferably in beauty or entertainment.
• Proficiency with tools such as Google Suite, Zoom, Slack, Monday.com, and Trello.
• Demonstrated ability to multitask and prioritize in a fast-paced environment.
• Exceptional attention to detail and strong written and verbal communication skills.
• High energy and a proactive, hands-on approach to responsibilities.
• Strong interpersonal skills, with the ability to build trust and engage with stakeholders at all levels.
• Flexibility to work after hours or on weekends when needed.
• A collaborative mindset and adaptability to an entrepreneurial and evolving environment.
