Administrative Assistant

Our client, a Jewish University in Los Angeles, is looking for a professional and dependable temporary administrative assistant to join their team!

Responsibilities:
- Buzz guests in and maintain calendars for three deans.
- Serve as front office support in a fast-paced environment, including answering phones, welcoming guests, scheduling, and booking space reservations.
- Compose singular and mail merge correspondence, prepare presentations, copy documents, make appointments, and file.
- Respond to needs of students and faculty including tasks like photocopying, responding to inquiries, and fulfilling requests.
- Assist with meeting and event preparation, including monitoring RSVPs and attendance, catering/food services, room reservations, correspondence, supplies, and coordinating with facilities, caterers, and outside vendors.
- Prepare and/or process payment invoices and data entry for budget monitoring and reconciliation. Coordinate receipt collection for reimbursements.
- Work with the Associate Dean and Registrar to manage class schedules and faculty communication.
- Special projects as assigned by the Dean and/or Associate Dean.
- Maintain calendars for the deans and the school.

Requirements:
- This is an on-site role. Candidates should be based near Los Angeles, CA to be considered.
- Must be available to start ASAP.
- Proficient in electronic calendaring and Office software (Word/Excel, including mail merge, formulas, etc.)
- Ability to learn the student database.
- Strong attention to detail and a friendly, approachable demeanor (as the first point of contact).
