Executive Assistant - Investment Team
This is a newly created role with a very manageable workload supporting around 6 professionals. The ideal candidate is bright, hard working and is seeking a dynamic, fast – paced environment!
2 – 7+ years of financial services experience in an administrative role required. Concur experience a plus!
5 days onsite Midtown, NYC
Hours: 8:30am – 5:30pm, flexibility as needed
Compensation: $90 – 115k base range DOE + disc bonus
Responsibilities include, but are not limited to:
- Scheduling and Calendar Management: Coordinate and maintain complex calendars, schedule meetings, appointments, and conference calls across multiple time zones while ensuring minimal scheduling conflicts.
- International and Domestic Travel Arrangements: Plan and book flights, accommodations, ground transportation, and itineraries for both domestic and international travel, ensuring a seamless travel experience. Handle visa applications, travel insurance, and any necessary documentation.
- Expense Reports: Track, reconcile, and submit expense reports in a timely manner, ensuring compliance with company policies and accuracy in financial documentation.
- Phone and Email Correspondence: Manage incoming and outgoing calls and emails, prioritize messages, respond on behalf of the executive when appropriate, and maintain a high level of professionalism in communication.
- Meeting Preparation: Organize and prepare materials for meetings, including agendas, presentations, and reports. Take detailed meeting minutes and follow up on action items to ensure completion.
Key Qualifications:
- 2 – 7+ years of financial experience required
- BA Degree preferred
- Strong Organizational and Time Management Skills – Ability to prioritize tasks, manage multiple deadlines, and coordinate schedules efficiently.
- Excellent Communication Skills – Strong verbal and written communication abilities to interact professionally with executives, clients, and stakeholders.
- Proficiency in Office Software and Tools – Experience with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Google Workspace, and scheduling software.
- Attention to Detail and Problem-Solving Skills – Ability to anticipate needs, identify potential issues, and implement effective solutions.
- Discretion and Confidentiality – Experience handling sensitive information with professionalism and maintaining confidentiality at all times.
