Executive Assistant
An impressive Charter School is looking for a professional and experienced Executive Assistant to support their CEO. This is an incredible opportunity to work for a mission-driven organization and alongside a true leader in the Education space. This role will be responsible for handling a high volume of calendar management, assist with strategic initiatives, act as a true gatekeeper and play a key role in ensuring the smooth operation of the CEO’s office.
Key Responsibilities:
• Manage the CEO’s highly active calendar
• Coordinate and prepare for meetings, including logistics, materials, and agendas.
• Screen and manage phone calls, emails, and other correspondence on behalf of the CEO.
• Prepare, proofread, and format documents, presentations, and reports.
• Maintain a filing system for important documents and ensure easy access to key information.
• Serve as the primary point of contact between the CEO and internal/external stakeholders, including high profile board members, donors, staff, parents, and community partners.
• Draft and send communications on behalf of the CEO, ensuring clarity, professionalism, and alignment with school values and priorities.
• Facilitate smooth communication within the organization and externally, ensuring timely responses and follow-through.
• Assist with planning and execution of school events, board meetings, and special initiatives.
• Track project timelines and deliverables, ensuring the CEO is kept informed and on track.
• Coordinate logistics for travel, conferences, and professional development opportunities for the CEO.
• Handle sensitive and confidential information with discretion and professionalism.
• Exercise judgment when managing conflicts, priorities, and confidential matters.
• Conduct research and gather information as needed for decision-making and strategic planning.
• Occasionally assist with personal tasks, errands, logistics, appointments
• Assist in maintaining a positive and productive work environment, supporting school culture and values.
Qualifications:
• Bachelor’s degree or equivalent experience required.
• At least 10+ years of executive assistant experience, preferably in an educational or non-profit setting.
• Exceptional organizational and time-management skills with an ability to multitask and prioritize effectively.
• Sophisticated and mature demeanor and able to work autonomously
• Excellent written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace, Teams, Zoom
• Strong problem-solving skills and attention to detail.
• Ability to work independently and as part of a team.
• Discretion, professionalism, and the ability to maintain confidentiality in a dynamic environment.
• Comfortable around children and able to work in a school environment
Preferred Qualifications:
• Experience in education or charter school environments.
• Familiarity with school-specific software or tools (e.g., student management systems, budgeting tools).
