Personal Assistant
Our client, a well-known Ultra High Network Individual is seeking a contracted temp-to-hire Personal Assistant to join their Miami Midtown Office ASAP. The ideal candidate will have experience working with celebrities or UHWNI previously.
Responsibilities:
- Manages and maintains the owner’s appointment schedule by scheduling meetings, teleconferences, and travel. This role involves heavy calendar management.
- Sets up both personal and professional meetings for ownership, attends them and takes detailed meeting notes
- Receives and reviews the owner’s personal mail correspondence.
- Manages personal email correspondence and phone messages for ownership.
- Books business travel and family vacations. Makes restaurant reservations, etc.
- Manages daily progress report, listing current and pending tasks and items of importance.
- Performs various miscellaneous tasks for ownership, including purchasing various household and personal items and conducting personal errands as requested.
- Oversees all household needs, including organizing private household events.
- Goes shopping and runs errands regularly (i.e. grabbing coffee for ownership before arriving at the office.)
- Ensure the routine maintenance of homes and vehicles
- Administers payment of ownership’s household staff.
- Organizes speaking engagements and is involved in public relations requests and updates, and maintaining the press kit.
- Organizes all inquiries for art sales and works with Office Manager to conduct proper outreach as directed by owner or restaurant managers.
- Partner with appropriate team members to ensure ownership is up to date with yachting inquiries.
- Maintains owner’s confidence and protects operations by keeping all information highly confidential.
QUALIFICATIONS:
- 3-5+ years of previous experience as a Personal Assistant, supporting a HNWI, Celebrity and/or CEO of a Corporate Entity.
- Strong time management skills with the ability to prioritize tasks and effectively manage time.
- 24/7 mentality, willing to take on the smallest of tasks with a can-do attitude.
- Has previously worn many hats and taken on a variety of responsibilities.
- Prior experience in travel coordination, reservation booking and event planning required.
- Has built positive relationships and effectively interacted with diverse individuals.
- Bilingual, fluency in Italian or French is strongly preferred. Additional language skills are always a PLU
