Executive Personal Assistant to Founder

We’re looking for a motivated and detail-driven Executive Personal Assistant to provide high-level administrative support to a Founder. This role requires exceptional organizational skills, the ability to manage multiple priorities, and a keen eye for detail. The ideal candidate is proactive, adaptable, and experienced in supporting creative professionals and their unique workflows. Maintaining confidentiality and professionalism is essential. Key Responsibilities: • Coordinate and oversee the Founder’s schedule, handling appointments and meetings with efficiency. • Serve as the liaison between the Founder and internal departments (like design, marketing, operations, and production) to ensure streamlined communication and follow-through on projects. • Track important deadlines and project timelines, keeping the Founder informed of key milestones. • Organize meetings, prepare agendas, capture detailed notes, and circulate action items to all relevant parties. • Support the development of creative materials, including presentations, mood boards, and briefs as requested. • Assist in planning and logistics for key initiatives such as photoshoots, presentations, and company events. • Manage emails, draft correspondence, and prepare professional documents. • Coordinate team activities and corporate or personal events from planning to execution. • Track and process expenses, invoices, and reimbursements. • Maintain confidentiality while managing sensitive information with professionalism. • Perform various administrative tasks including office coordination, database management, and filing. • Take on additional projects and tasks as needed. Qualifications: • Exceptional organizational and time management abilities. • Strong verbal and written communication skills. • Discretion and the ability to handle confidential information. • Attention to detail and proactive problem-solving. • Familiarity with creative processes and industries. • Reliability, punctuality, and a collaborative attitude. • 2–3 years in a personal assistant or similar role, preferably within creative industries such as fashion, film, or design. • Proven ability to manage large-scale projects and support senior creative leadership. • Skilled in MacOS, Google Workspace, and Microsoft Office (Word, Excel, PowerPoint). • Familiarity with Adobe Creative Suite is a plus. • Valid driver’s license and reliable transportation required.
