Administrative Assistant

Our client, a prestigious private equity firm, is seeking an Administrative Assistant to perform a wide range of administrative tasks to support daily operations. This includes keeping the office space supplied and organized, as well as providing support to the Senior Administrative team. The ideal candidate will possess strong communication, time-management, organizational, and multitasking abilities.

Responsibilities:
• Provide executive-level administrative support, managing schedules, handling correspondence, and organizing meetings.
• Ensure the office runs smoothly by maintaining inventory, overseeing office upkeep, and coordinating maintenance needs.
• Handle travel logistics, including booking flights, car rentals, hotel accommodations, and processing related expenses like receipts and reimbursements.
• Organize and reserve conference rooms for both internal and external meetings, greeting and registering guests in the visitor system.
• Foster positive working relationships with both internal and external stakeholders, ensuring effective communication and collaboration.
• Coordinate and assist with meetings, events, and other office activities, ensuring all logistical aspects are covered.
• Step in as backup support for senior professionals, offering assistance as needed to ensure continuity in operations.
• Manage and update various spreadsheets and databases to ensure accurate and up-to-date information.
• Assist with ad hoc projects and tasks, demonstrating flexibility and a proactive approach.

Skills & Qualifications:
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office tools (e-calendars, copy machines, virtual meeting platforms).
• Excellent communication skills, both written and verbal, with the ability to interact professionally and effectively with colleagues and clients.
• High reliability, professionalism, and discretion when handling sensitive or confidential information.
• Strong organizational skills with the ability to prioritize and manage multiple tasks efficiently.
• Attention to detail, ensuring accuracy and quality in all tasks.
• Problem-solving abilities with a proactive mindset to anticipate and address needs.
• Previous experience as an Administrative Assistant or in a similar role.
• Time management and multitasking skills, thriving in fast-paced environments.
• Customer service-oriented, focusing on positive stakeholder experiences.
• Adaptable and flexible, adjusting to changing priorities while maintaining a calm approach.
• Tech-savvy, with familiarity in office software, project management tools, and equipment troubleshooting.
